Let’s be honest: when something changes suddenly on the road, your drivers aren’t opening a fancy new app to let you know. They’re opening WhatsApp.
And your planners are having to juggle their phones, computers, spreadsheets and TMS to reply and update them quickly.
But now that’s all about to change. You can now reply on the same screen, without even leaving .
With our new WhatsApp integration, you can message your drivers directly from the platform. It’s the fastest, easiest way to share updates, ask a question or receive a quick photo or PDF. No switching tabs or copying phone numbers.
So, how does it actually work?
To get started, you just connect your WhatsApp Business Account to Qargo. Once it’s set up, you’ll see a WhatsApp icon next to every eligible driver or resource in the platform.
From there, you can start a conversation from:
- The driver’s profile
- The trip overview
- The planning view
- Or anywhere you see a driver/resource card
Each chat is tied to the driver, not just a single trip, so all your messages stay in one nice continuous thread. That means less clutter, easier tracking, and all the context you need, right where you need it.
But why should we care?
Well, firstly, your planners will thank you for it. But there also won’t be anymore tab juggling, as there’s no need for a WhatsApp Desktop or personal phones. WhatsApp is already the messaging tool most drivers (including your subcontractors) are familiar with and use daily, so you’re not asking them to download or learn something new. Plus everything will be in one safe place. Messages are stored in Qargo , visible to your whole planning team and linked to the right resource.
What’s the cost- in plain English please
Good news: in many cases, it’s completely free.
If a driver sends you a message first, you can reply and chat freely for 24 hours: no charge at all. Every time they reply again, the 24-hour window resets.
If you and your planners want to initiate the conversation, you’ll send a pre-approved WhatsApp template message. That costs just €0.02 per message. That’s charged by WhatsApp (Meta), not us at Qargo.
And that’s it. You’re in full control. You manage your own WhatsApp Business Account and payment method. Qargo doesn’t charge anything extra or handle your message billing.

What can my drivers send?
Anything you’d expect in a normal WhatsApp chat!
- Photos: to share delivery notes, damaged goods, signatures
- PDFs: scanned PODs, job sheets, paperwork
- Other supported media: anything WhatsApp allows
Attachments are available in Qargo for 7 days, giving your team plenty of time to download the important stuff.
Getting started is easy
You can be up and running in minutes. Just head to your organisation settings in Qargo and add your WhatsApp Business Account.
Once you’re connected, you’ll see a WhatsApp icon next to your drivers across the platform (whether you’re viewing a trip, an order, or the planning screen).
From there, you can start chatting straight away.
